What Does a Dealer Management System Actually Do?
"Dealer management system" gets used for almost anything sold to dealers. Lead tools, listing sites and website builders all borrow the name. So it's worth being plain about what a DMS is, and what it isn't.
A dealer management system runs the whole sale in one place. Not just the lead. Not just the listing. The whole thing, from first inquiry to the service call months after delivery.
WHAT A DMS COVERS
Here is the work a real DMS should handle, in the order a sale happens:
1. Leads and follow-up. Every inquiry lands on a customer record, gets assigned to a rep, and gets followed up by text, email and tasks.
2. Inventory. Units, parts and purchase orders, ideally fed by manufacturer catalogs so specs and pricing arrive without retyping.
3. Quotes and deal structuring. Payment scenarios with trade-in, fees and taxes, built from the actual unit, without re-keying the buyer.
4. Agreements. Purchase agreements that fill from the deal and go out for e-signature.
5. Money. Invoices, payments and either built-in accounting or a live sync to your accounting software.
6. Commissions. Plans that calculate from the deal instead of a month-end spreadsheet.
7. Delivery. A project with tasks, costs, vendors and contractors, from signed contract to handoff.
8. Service and warranty. Tickets, warranty claims and what the manufacturer still owes you.
9. Portals. A place for buyers to see progress, sign and pay, and for contractors to see the work assigned to them.
10. Reporting across locations. What sold, what it made and who earned what, by rooftop.
If a product covers two or three of those, it's a tool. If it covers all of them on one customer record, it's a DMS.

WHAT A DMS ISN'T
A CRM manages leads and follow-up. It stops when the buyer says yes.
A digital showroom helps buyers browse and customize homes online. It creates interest; it doesn't run the paperwork or the delivery.
A marketplace lists your inventory next to other dealers' inventory. It's a lead source, not a system to run on.
Community management software runs lot rent, leases and residents. It's a different business from selling homes.

HOW TO TELL IF YOU NEED ONE
Count how many times one sale gets typed in. Inventory sheet, deal sheet, agreement, accounting. If it's more than once, you're paying for it in hours and in errors.
Other signs:
- Commissions take a day to calculate and get disputed.
- Buyers call to ask where their home is.
- You opened a second location and can't see gross by location.
- Warranty reimbursements go untracked.
