Switching dealer management software

Switching Dealer Management Software: A Plain-English Migration Guide (2026/2027)

DealerTide, by Renter Insight·Updated September 2026·8 min read

Key takeaways

  • Most dealers stay on the wrong system because switching sounds risky. The risk is manageable if you move the right data, in the right order, one location at a time.
  • Move what's open: active contacts, open deals, current inventory and live templates. Closed history can stay where it is, exported and archived.
  • If you keep QuickBooks, your accounting history doesn't move at all. The new system connects to it.
  • Ask every vendor the same migration questions before you sign. They're at the end of this guide.

Whether you're leaving spreadsheets, a standalone CRM, a general work tool or an older DMS, the job is the same: get today's business into the new system without losing a deal, a deposit or a commission in the handoff.

This guide applies to any dealer software. Where we describe how it works in DealerTide, we say so.

Six phases of a clean switch

  1. Plan. Pick a go-live date at the start of a month, name one owner on your side, and list every tool the new system replaces.
  2. Set up the company. Locations, users, roles and permissions first, so imported data lands in the right place.
  3. Connect. QuickBooks, email accounts, manufacturer catalogs and listing feeds.
  4. Import and configure. Contacts, open deals and inventory; then agreement templates, commission plans, project templates and automations.
  5. Test with real deals. Run two or three recent sales end to end and compare the commission and the invoice to what you actually paid and billed.
  6. Go live one location at a time. Stop entering new work in the old system on the go-live date. Keep it read-only until month-end closes cleanly.

Before you start: a prep list

  • Exports of contacts, open deals and inventory from every current tool
  • Your current agreement forms as PDFs
  • Commission plans in writing, plus last month's payout sheet
  • Your delivery or install checklist, step by step
  • A list of users, their locations and what each should see
  • QuickBooks admin access, if you're keeping QuickBooks

How it works in DealerTide

  • Import and export tool for contacts, deals and inventory.
  • QuickBooks Online connection with chart-of-accounts mapping, company-wide or per location, so your books keep their shape.
  • Manufacturer catalogs from Champion, Clayton, Cavco and its brands, Timber Creek and more, so current models arrive with specs.
  • PDF agreement mapping turns the forms you already use into templates.
  • Project templates built from your delivery checklist.
  • Locations and role-based permissions so you can go live one rooftop at a time.

Migration questions to ask every vendor

  1. Who does the import, you or us? What does it cost?
  2. Which of our exports can you take as-is?
  3. Can we keep QuickBooks, and does our accounting history move?
  4. Can we go live one location at a time?
  5. Who is our contact during setup, and after go-live?
  6. If we leave later, how do we get our data out?

Frequently asked questions

What data should we move when switching dealer software?

Move what is open: active contacts and accounts, open deals, current inventory, deliveries in progress, open warranty claims, agreement forms and commission plans. Closed history can be exported and archived.

Do we lose our QuickBooks history if we switch?

No. If you keep QuickBooks, your accounting history stays there and DealerTide connects to it. If you move to DealerTide accounting, start the new books at a period close.

Can we switch one location at a time?

Yes. DealerTide supports multiple locations with their own users, permissions and inventory, so you can go live one rooftop at a time.

Can we keep our current agreement forms?

Yes. Upload your PDF forms to DealerTide and map the fields once. They become reusable templates filled from each deal.

How do we check commissions after switching?

Rebuild your plans in the new system and run last month’s deals through them. The payouts should match what you actually paid before you go live.
