Leaving QuickBooks Is Easier Than You Think

Leaving QuickBooks Is Easier Than You Think

How DealerTide moves your books over in one guided switch, and checks every number before anything posts.

Most dealers stay on QuickBooks for one reason: switching sounds painful. Years of history, a chart of accounts nobody wants to rebuild, open invoices, bills, bank accounts, and the fear that something will not add up at month end.

We built the DealerTide switch to take that fear off the table. Your books move over as of one cutover date, every number is checked against QuickBooks before anything posts, and you can undo it if something looks wrong.

Here is how it works.

1. Pick a cutover date

Usually the last day of a month. Everything up to that day comes over as opening balances. Everything after it happens in DealerTide. Your history stays in QuickBooks, where you can still look it up any time.

2. Connect QuickBooks once

DealerTide reads your QuickBooks company through a secure sign in. It only reads. Nothing in QuickBooks is changed, ever.

3. Your chart of accounts maps itself, and you approve it

DealerTide suggests where each QuickBooks account belongs in your DealerTide chart: same number and name where it matches, and a short plain reason for every other suggestion. You confirm the ones that are right and change the ones that are not. Confirm all suggested takes care of the obvious matches in one click.

Guardrails catch the mistakes that are easy to make by hand:

  • Income cannot be sent to an asset account.
  • A bank cannot be linked to a receivables account.
  • Two bank accounts cannot quietly merge into one.

4. Connect your banks and cards

Sign in to each bank once and pick every account you want: checking, savings, credit cards. Each one comes over with its bank feed on. DealerTide starts each feed the day after your cutover, so nothing is counted twice.

5. Open invoices and bills come over with what is still owed

Every open invoice comes over with its remaining balance, linked to the right customer. Every open bill comes over linked to its vendor. Customer credits and unapplied payments are taken off that customer's oldest invoices, and vendor credits off that vendor's bills, so each one shows what is really owed. Customers and vendors are brought over or matched to the ones you already have.

6. Uncleared checks and deposits are ready for your first reconciliation

Checks and deposits that had not cleared the bank by your cutover date come over as reconciling items. Enter your bank statement balance, and DealerTide shows you whether it ties. When it does, your first reconciliation in DealerTide balances.

7. Preview everything before it posts

One screen puts your DealerTide trial balance next to QuickBooks', with receivables and payables tied out against your open invoices and bills. Anything that needs fixing is listed, and each item takes you straight to the exact account or bank that needs attention. Nothing posts until every check passes and you click Post.

8. Change your mind? Roll it back

Until your first month after the switch closes, you can undo the whole switch: the opening entry is reversed as of the cutover date, and the invoices, bills and reconciliations it brought over are removed.

What you get on the other side

Your accounting lives in the same system as your deals, inventory, service and customers. A home sold in DealerTide posts to the books in DealerTide. No more exporting, re-keying or reconciling two systems against each other.

We do it with you

Every switch today is done together with the DealerTide team. We connect, map, check and post with you, so you see every number before it lands.
